- Rules as on 2 November 2026. A later circular — or an AMC's current form — overrides anything here.
- Where a point is AMC or RTA practice rather than a rule, it says so.
- It is not legal, tax or investment advice. Draft by Deepak Singla, an AMFI-registered Mutual Fund Distributor (ARN-76535). Not issued or reviewed by AMFI, SEBI or any AMC.
This volume covers the requests an MFD helps clients with every week: changing contact or bank details, starting and stopping SIPs, redemptions, statements, a minor turning eighteen, the death of an investor, a move abroad, and what to do when a request gets stuck.
Each rule is followed by its source and date. Many servicing steps are not rules at all but the practice of an AMC or its registrar (RTA); those are marked as practice, and the AMC's current form or Statement of Additional Information (SAI) is the final word for them.
2026 changed servicing more than most years: a new SEBI Master Circular (20 March), new nomination norms (1 September) and a new, uniform transmission process for the death of an investor (circular of 23 July). When you read this, check Appendix C and the AMC's current forms for anything newer.
Servicing basics: who does what
Most service requests are handled by the AMC through its registrar — CAMS or KFintech — not by the distributor. The MFD's job is to make sure the request is the investor's own, complete and correctly routed, and to follow it up.
The rules
- Fill every form with the investor's own details; change contact details only on the investor's own instruction; never insert, delete or modify anything on a form the investor has signed.AMFI Master Circular for MFDs (14 Jan 2026), Ch. 7 Code of Conduct 4(i)
- The registrars run a common platform, MF Central, for investors across all mutual funds: holdings, transaction history, service requests such as change of email, mobile or bank, query and complaint tracking, capital-gains reports and unclaimed amounts.SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 17.5.1-17.5.7 (originally SEBI circular SEBI/HO/IMD/IMD-II DOF3/P/CIR/2021/604, 26 Jul 2021)
- Payments go only to the investor's registered and verified bank account; AMCs keep an audit trail of the verification.SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 17.4.4 and 17.4.8
- KYC details (address, email, mobile) — the KYC Registration Agency (KRA), through any KYC point of service.
- Folio details (bank, nomination, SIPs, redemptions, transmission) — the AMC or its registrar (CAMS / KFintech), on paper, online, or on MF Central.
- Demat-held units — the investor's depository participant (DP).
- Complaints — the AMC first; then SEBI's SCORES; then online dispute resolution (Chapter 11).
Good practice
- Keep a request log: date, client, request, where submitted, reference number, date closed.
- Give the client a copy or the acknowledgement of every request.
- Don't sign or fill anything on the client's behalf, even "just the date".
- Don't collect originals you don't need; never keep blank signed forms.
KYC and contact details
A wrong email or mobile means the client misses statements and alerts; an unverified KYC can stop transactions altogether. KYC is updated at the KRA, not at each fund house.
The rules
- Investors must keep their KYC record current. Changes — address, email, mobile and other details — are made through the KRA's KYC modification process, with a self-declaration where the current address differs from the Aadhaar address.SEBI FAQs on KYC Norms for the Securities Market (2024), FAQs 18-20
- KRAs verify the PAN (including its link with Aadhaar), name and address against official records; a client whose details cannot be verified may not transact until they are.SEBI circular SEBI/HO/MIRSD/FATF/P/CIR/2023/0144 (11 Aug 2023), paras 5, 8 and 13 (from 1 Sep 2023)
- A KYC record is "Validated" only when every attribute is verified and the PAN-Aadhaar link is verified.SEBI circular SEBI/HO/MIRSD/SECFATF/P/CIR/2024/41 (14 May 2024), para 2.2
- A record "On Hold" (neither email nor mobile validated) cannot be used for further transactions until fixed; clients who existed on 31 March 2024 may still redeem after due diligence. A record is "Registered" when at least one of email or mobile is validated.SEBI FAQs on KYC Norms for the Securities Market (2024), FAQs 42 and 45; KRA circular KARVY/OPS/INTERM/GENRL/24-006 (26 May 2024)
When the PAN is not linked with Aadhaar
- A PAN not linked with Aadhaar becomes inoperative. While inoperative, tax is deducted at the higher rate (the highest of the normal rate, the rate in force, or 20% in most cases) and refunds are withheld. Linking Aadhaar and paying the late fee restores it within 30 days.Income-tax Rules, 2026, rule 162; Income-tax Act, 2025, s. 397(2) and s. 430
- Whether an inoperative PAN still allows mutual fund transactions is not settled in any source found for this edition; SEBI's KYC FAQ allows an existing client to keep transacting "as long as PAN is valid". Treat it as a reason to get the PAN linked before anything else.SEBI FAQs on KYC Norms for the Securities Market (2024), FAQ 12 — practical reading, not an express rule
- Check the client's KYC status on the KRA site before every first transaction with a new fund house.
- Ask the client to validate both email and mobile — the KRA sends links to each.
- Don't put your own or your office's email or mobile on a client's KYC or folio.
- Don't start a new SIP for a client whose KYC is On Hold — fix the KYC first.
Bank accounts and mandates
Bank details decide where every rupee of redemption and IDCW goes. The rules are built to stop money going to the wrong account — which is why a bank change can delay a redemption.
The rules
- An individual or HUF can register up to 5 bank accounts in a folio; a non-individual up to 10. A new account is validated (within at most 10 calendar days) before any payout goes to it.AMFI Best Practice Guidelines Circular 17/2010-11 (22 Oct 2010), paras 2.1.5, 3.3.3.1 and 3.3.3.3
- If a change of bank account is received within 10 days before a redemption, or together with it, the AMC may apply a 10-day cooling-off and then pay within one more working day.AMFI list of exceptional situations for payout timelines (under SEBI Master Circular for Mutual Funds (20 Mar 2026), para 15.3.3), item (v)
- For a minor's folio, redemption proceeds go only to the minor's own account, or a joint account of the minor with the parent or guardian.SEBI circular SEBI/HO/IMD/POD-II/CIR/P/2023/0069 (12 May 2023) (from 15 Jun 2023); SEBI Master Circular for Mutual Funds (20 Mar 2026), para 15.13
- Register the new bank account well before a planned redemption — ideally weeks before.
- Register more than one account so that a closed account never blocks a payout.
- Don't submit a bank change and a large redemption on the same day unless the client accepts the possible delay.
- Don't accept a bank-change request that is not signed by all holders as per the mode of holding (practice: AMCs require it).
SIPs, STPs and SWPs
Standing instructions run for years. Starting them is easy; the trouble comes when a bank changes, a client wants to stop, or a debit fails.
Stopping and failed debits
- Investors can cancel a SIP online and must choose a reason; cancellation is to be processed within 10 calendar days; a SIP is cancelled automatically after 3 consecutive failed debits (daily, weekly or monthly SIPs) or 2 (quarterly and longer).SEBI letter SEBI/HO/OW/IMD/IMD-SEC1/P/2024/270 (3 Jan 2024), as reproduced in AMC addenda (from 1 Apr 2024)
- A shorter timeline — cancellation within T+2 working days from 1 December 2024 — has been reported as set by a further SEBI letter; no public document number was found for this edition.Press reports only — confirm with the AMC
- A SIP "pause" is an AMC facility, not a SEBI rule; at least one AMC states that a paused instalment does not count as a failed debit. Notice periods for changing a SIP date or bank are set by each AMC.AMC practice (e.g. AMC SIP FAQs) — not a rule
Units in demat
- SWP and STP instructions are being extended to mutual fund units held in demat: unit-based SWP/STP by 31 January 2027 and amount-based by 30 April 2027.SEBI circular HO/47/14/13(2)2026-MRD-POD2/I/16590/2026 (17 Jul 2026), paras 4-5
- When a client says "stop my SIP", ask whether they mean pause, reduce or cancel — and record what they chose.
- Before a bank account closes, register the new mandate and let the old one end only after the new one is live.
- Don't let three debits bounce silently — a failed debit costs the client bank charges and ends the SIP.
- Don't restart a cancelled SIP without a fresh instruction from the client.
- Cancel: online (AMC, RTA or MF Central) or a signed form; keep the acknowledgement.
- Change amount or date: usually a cancel and a new SIP — check the AMC's form.
- Step-up: set once in the mandate where the AMC allows it, with the client's consent.
Redemptions and payouts
Clients judge a fund house — and their MFD — by how fast their money arrives. The timelines are fixed by SEBI, and late payment carries interest.
The rules
- Redemption proceeds must be paid within 3 working days; schemes with at least 80% invested overseas get 5 working days. All valid requests are paid on the same day — no early payout for some investors.SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 15.3.1-15.3.4 (originally SEBI circular of 25 Nov 2022)
- IDCW (dividend) must be paid within 7 working days from the record date.SEBI Master Circular for Mutual Funds (20 Mar 2026), para 12.4
- For a delay in paying redemption or IDCW, the AMC pays interest at 15% a year for the period of delay, with the proceeds, and tells the investor the rate and amount.SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 15.4.1-15.4.2
- AMFI lists exceptional situations that allow more time — for example cheque or demand-draft payouts (2 more working days), state bank holidays (1 more), a recent bank change (10-day cooling-off) and extra due diligence such as a transmission or a lien (3 more).AMFI list of exceptional situations for payout timelines (under SEBI Master Circular for Mutual Funds (20 Mar 2026), para 15.3.3)
Unclaimed money
- Unclaimed redemption and IDCW amounts are moved within 90-105 days to a separate unclaimed-amount plan with no exit load and a 0.50% expense cap. Claimed within 3 years, the investor gets the amount plus all income earned; after that, income only up to the end of year 3.SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 15.5.1-15.5.5 (SEBI circular of 30 Jul 2021; SEBI letter of 22 Jan 2025)
- AMC and AMFI websites must let investors search for unclaimed amounts, and the amount and its current value appear in the account statement. MITRA, run by the registrars, finds inactive folios (no transaction for 10 years with units still held).SEBI Master Circular for Mutual Funds (20 Mar 2026), paras 15.5.7 and 15.6 (SEBI circular of 12 Feb 2025)
- Search MITRA and the unclaimed-amount pages for every new client who "had some old mutual funds".
- Tell the client the 3-working-day rule before they redeem, and the exceptions that may apply.
- Don't promise "money tomorrow" — promise what the rule says.
Statements
The Consolidated Account Statement (CAS) is the client's single view of every fund, and the place they see the commission paid to you. Knowing when it arrives saves many calls.
The rules
- A CAS is sent for each month in which there was a transaction, by the 15th of the next month; otherwise half-yearly, by the 21st. The half-yearly CAS for September and March shows the commission paid to the distributor and the scheme's expense ratio.SEBI Master Circular for Mutual Funds (20 Mar 2026), para 15.7.4
- Where the PAN also has a demat account, the depository sends the CAS: monthly by the 12th (email) or 15th (physical); half-yearly by 18 April / 18 October (email) or 21 April / 21 October (physical).SEBI circular SEBI/HO/MRD/PoD1/CIR/P/2025/16 (14 Feb 2025), paras 3-6
- Email is the default for CAS; a physical copy is sent only if the investor opts for it. Depositories send a quarterly SMS naming the email address in use.SEBI circular SEBI/HO/MRD-PoD2/CIR/P/2024/93 (1 Jul 2024), Annexure A (from 1 Aug 2024)
- MF Central provides a capital-gains/loss report. No rule requires AMCs or registrars to send capital-gains statements on their own; CAMS and KFintech issue them on request.SEBI Master Circular for Mutual Funds (20 Mar 2026), para 17.5.2; the rest is RTA practice
- Before the half-yearly CAS, tell clients they will see your commission on it — and what it means.
- Help clients download capital-gains statements before they file their return.
Life events: a minor turns eighteen
A minor's folio does not become the major's automatically. Until the status is changed, the folio is frozen for new instructions — including running SIPs.
The rules
- From the date the minor attains majority, no further transactions are allowed until the status is changed to major; standing instructions (SIP, STP, SWP) are suspended from that date. The new major gives full KYC and new bank details.SEBI circular SEBI/HO/IMD/DF3/CIR/P/2019/166 (24 Dec 2019), paras 1(b)-1(c)
- Documents usually asked for: the change-of-status form (attested by the guardian, a notary, a magistrate or the bank), PAN and KYC of the new major, a cancelled cheque or bank statement, a nomination form, and fresh SIP/STP/SWP mandates if the plans are to continue.AMFI investor page "Minor attaining Majority" (read 2 Nov 2026), paras 3.3-3.5
- Change of guardian (by consent of the parents, or on the guardian's death): the form with the new guardian's PAN and KYC, a cancelled cheque of the minor's account showing the new guardian, consent or a court order or the death certificate, and proof of relationship.AMFI investor page "Minor attaining Majority" (read 2 Nov 2026), paras 2.1-2.7 (no SEBI circular found on this)
- Keep a list of minors' dates of birth and start the change of status a few months before the 18th birthday.
- Explain to the family that the SIP will stop at 18 unless the new major signs fresh instructions.
Life events: the death of an investor
This is the hardest call an MFD takes, and the most important service you will give. Since 2026 the process is uniform across AMCs, with fixed document sets and a fixed deadline.
Who gets the units
- On the death of a sole holder with a nominee, the units go to the nominee as trustee on behalf of the legal heirs; the AMC is discharged once it transmits to the nominee. With no nominee, they go to the legal heirs. Disputed claims go to court.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, paras 1.3, 4.1.1 and 4.1.4 (in force about 30 days after issue)
- On the death of one joint holder, the units go to the surviving holder(s); the AMC may ask only for a copy of the death certificate — no KYC, indemnity or undertaking.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, para 7
- Up to 3 nominees can be named; if there are several, they may keep the units in one folio or split them into separate folios.SEBI circular SEBI/HO/OIAE/OIAE_IAD-3/P/CIR/2026/12676 (29 May 2026), paras 5.1-5.2
What to submit, and the deadline
- Every claim needs the request form, the claimant's latest client master list (or KYC), a verifiable death certificate and the statement of account.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, para 4.2.1
- Value thresholds (at the last NAV), for units held in statement-of-account form: a fast-track route up to ₹10,000 for immediate relatives, and simplified documents up to ₹10 lakh per AMC. For demat units: ₹30,000 and ₹30 lakh per beneficial owner.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, para 3.1 (the SOA reading follows footnote 2 and AMC addenda)
- Simplified route: a notarised indemnity bond plus a notarised affidavit-cum-NOC from all legal heirs, or a family settlement deed. Above the threshold: the affidavit-cum-NOC plus one of a will with indemnity, a legal heirship certificate (Tehsildar or above) with indemnity, or a succession certificate, letter of administration or court decree. Probate is no longer mandatory.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, paras 4.2.2.2-4.2.2.3 and cover letter para 3.3
- Standard forms are used by every entity, any extra documents asked for must be the same across entities, and transmission must be completed within 21 calendar days of receiving complete documents.SEBI circular HO/38/13/11(14)2026-MIRSD-POD/I/17111/2026 (23 Jul 2026), Annexure, paras 6.1.1, 6.1.8 and 6.1.11.1
- Make one list of every folio the deceased held — CAS, MF Central and MITRA help — before the family starts.
- Tell the family that a nominee holds the units in trust for the legal heirs; for the shares among heirs, they may need a lawyer.
- Don't accept or keep original death certificates or wills; ask for the copies the form requires.
- Don't give a view on who is entitled among heirs — that is for the family, a lawyer or a court.
- The older AMFI tiers (₹5 lakh and ₹10 lakh, January 2024) and their 10-day wait before redemption were superseded by SEBI's uniform process of 23 July 2026 wherever they differ. AMC forms may lag — quote the SEBI circular if a document is demanded that it does not list.
Moving abroad, and coming back
A client who becomes an NRI must change the folio's tax status — and the bank account and KYC behind it. There is no single SEBI procedure; each AMC's form governs.
What is rule and what is practice
- A change of residential status is handled by the AMC or registrar through its "change of tax status" request: proof of the old and new bank accounts (NRE/NRO), an overseas address, and a fresh FATCA/CRS self-certification with a foreign tax identification number. The KYC is updated separately at the KRA. What happens to running SIPs is set by each AMC.AMC practice (e.g. AMC change-of-tax-status forms, 2025) — not a SEBI rule
- Restrictions on investors resident in the United States or Canada are each AMC's own policy, driven by US and Canadian reporting rules; many AMCs refuse new purchases from them. No SEBI rule barring them was found for this edition.AMC policy (e.g. AMC NRI pages) — not a SEBI rule
- An NRI without Aadhaar is exempt from the PAN-Aadhaar linking requirement only after updating their status to non-resident on the income-tax portal.SEBI FAQs on KYC Norms for the Securities Market (2024), FAQs 34-35
- Ask every client who mentions a job or study abroad to tell you before they leave.
- Check each AMC's current NRI policy before suggesting a new purchase to an NRI client.
- Don't let a client keep investing as a resident after they have become an NRI.
Folios, demat and loans
Over the years clients collect many folios. Consolidating them, moving units to demat, or pledging them for a loan are all possible — mostly as practice rather than rule.
What applies
- Folios within one AMC can be consolidated by the AMC or registrar on request, normally only where the holders and mode of holding are the same; folios of different AMCs cannot be merged. No SEBI rule governs this.AMC/RTA practice — not a rule
- To move units to demat, the investor gives a conversion request form with the statement of account to their depository participant; to move back, a remat request form to the DP.NSDL — conversion and reconversion of mutual fund units (read 2 Nov 2026)
- Demat units can be pledged under the depository rules, with a standard pledge request form and notice to the investor before pledged units are sold. Units in statement-of-account form are lien-marked by the registrar at the lender's request and cannot be redeemed until released.SEBI (Depositories and Participants) Regulations, 2018, reg. 79; SEBI circular HO/47/14/12(1)2026-MRD-POD2/I/4229/2026 (5 Feb 2026); SOA lien is RTA practice
- Before consolidating, check the holders, their order and the nominations are the same in both folios.
- Don't arrange or recommend a loan against units unless you hold the registration for it — lending is not mutual fund distribution.
When a request gets stuck
Most requests go through. When one does not, a calm, documented escalation solves almost everything — and it is part of your duty to the client.
The rules
- Endeavour to resolve investor grievances arising from your distribution, and give AMCs complete assistance in resolving them.AMFI Master Circular for MFDs (14 Jan 2026), Ch. 7 Code of Conduct 4(j)
- Investors can complain on SEBI's SCORES platform; the entity must resolve a complaint within 21 calendar days, after which the investor can seek a review and then online dispute resolution.SEBI circular SEBI/HO/OIAE/IGRD/CIR/P/2023/156 (20 Sep 2023)
- SEBI's online dispute resolution covers disputes with mutual fund AMCs, including claims arising from their distributors.SEBI Master Circular for Online Resolution of Disputes (31 Jul 2023, as updated), Schedule A
- 1. Check the request is complete and quote its reference number.
- 2. Write to the AMC's investor service email (the registrar's is in the AMC's SAI).
- 3. Ask the AMC for its escalation or investor relations officer — listed on every AMC website.
- 4. If unresolved, the client files on SCORES; after that, online dispute resolution.
- 5. Keep every email: dates matter for the 15% interest on late payouts and for the 21-day transmission deadline.
Appendix A — Request checklist
What each common request usually needs. The AMC's current form is the final word.
- Contact / address change: KRA KYC modification form and proof; then validate email and mobile.
- Bank change: AMC change-of-bank form signed by all holders, proof of the new account; avoid same-day redemptions.
- SIP cancel: online request with a reason, or signed form; keep the acknowledgement.
- Minor to major: change-of-status form, PAN and KYC, bank proof, nomination, fresh mandates.
- Death of a joint holder: copy of the death certificate.
- Death of a sole holder: transmission form, claimant's CML/KYC, death certificate, statement of account, plus the documents for the value band.
- Resident to NRI: change-of-tax-status form, NRE/NRO proof, overseas address, FATCA/CRS, KYC update at the KRA.
- Demat conversion: conversion request form and statement of account, through the DP.
